Can I Still Use a Spreadsheet Under Making Tax Digital? (Yes — Here's How)

Short answer: yes. Despite a decade of software-vendor marketing implying otherwise, HMRC explicitly permits spreadsheets under MTD for Income Tax. Around a third of MTD VAT users went the spreadsheet route, and the same approach works here.

There are exactly two conditions.

Condition 1: the spreadsheet must contain proper digital records

Every business income and expense item, recorded with date, amount and HMRC category, kept up to date as you go. A spreadsheet you fill in each January doesn't qualify; one you update weekly does. The categories matter: self-employment expenses must resolve into HMRC's 13 official boxes ("Cost of goods bought for resale", "Car, van and travel expenses"…), property into its own set.

Condition 2: a digital link to HMRC

Quarterly updates must travel from your spreadsheet to HMRC through bridging software without manual retyping. Copy-paste of a cell range is tolerated; reading totals off one screen and typing them into another is not. In practice the bridging tool either reads your file directly, runs as an Excel add-in (VitalTax), or gives you a linked template (AbraTax).

Cost: £0–£30/year. Compare that to £120–£360/year for full accounting software subscriptions.

What's actually banned

Paper ledgers and receipt shoeboxes as your records. Typing updates into the HMRC website (no such facility exists). Manual retyping between systems. That's the list.

Why spreadsheets fail people anyway

Not because of the rules — because of design. A free-form spreadsheet with columns you invented in 2019 can't produce HMRC's category totals without an afternoon of re-sorting every quarter, four times a year, forever.

A compliant spreadsheet needs: the official categories as dropdowns (no typos, no invented categories), a summary that totals each category cumulatively per HMRC's quarterly periods (6 April to 5 July, to 5 October, to 5 January, to 5 April), and correction handling that never deletes submitted rows.

The compliant spreadsheet workflow

  1. Record income/expenses as rows, category from a dropdown (weekly habit, minutes).
  2. Quarter ends: reconcile against your bank, glance at the auto-built summary.
